THE ROLE OF A SECRETARY IN PUBLIC RELATIONS

A STUDY OF NIGERIAN RAILWAY CORPORATION, EASTERN DISTRICT, ENUGU

ABSTRACT

 

          The motive of this study is to verify the role of a secretary in public relations.  A study of Nigerian Railway Corporation Eastern District, Enugu and to find out some predicament, encountered by secretaries in the discharge of their studies.

          In order to obtain the required data, research questions were used as a guide. The research also developed a questionnaire based on the research questions to elicit useful response used in completing the study. In selecting the sample, secretaries of all types were selected from the Nigerian Railway Corporation. The sample is 180. the data collected was analyzed by the use of simple percentages while the results of the investigation were presented in tables.

          Based on other findings the following conclusions were made:

1.                 The secretary is an important public relations officers in an organization just as those in other professions.

2.                 To have benefit in any business organization the work of a secretary should be recognized and accorded the right honour.

3.                 The secretary must have good knowledge and understanding of the organization they are working with.

4.                 Government should make room for policy on the training of secretary as a way to support secretaries who embark on self effort geared towards the improvement of their profession.

INTRODUCTION

 

BACKGROUND OF THE STUDY

          In the olden days the secretarial profession are no valued to both business and industries all over the world. The secretary profession is one of the oldest in the world and wherever there was a man of action, there too, was a man of pen to record his deeds.

          The dictionary of occupation titles analyzed a secretary as a person, who scheduled appointments, relieve officers of clerical work and minor administrative business details, take dictation on shorthand or on machine and transcribes , deals with incoming and out going mails locates and attached appropriate correspondences to files to be treated by the employers.

          The National Secretaries Associations (International) emphasized on secretary as an assistant manager who possesses a masterly of office skill, who demonstrate the power to assume responsibility without direct supervision, who exercise initiative and judgement and who makes decisions within the scope of assigned responsibility keeps personal records minutes of meeting and takes care of reports.

          From the above, it could be seen that a secretary is a versatile business generalist who understands the language of modern business and not just the skill of shorthand and typing alone. Secretarial efficiency or perfection does not lie in rapid transcription of business communication in a manner that enhances the image of the organization.  The secretary is needed the store house or a line wire for the provision of information because an office is set up to carry out a specified business and with the sole aim of making thus, the
